The scientific committee of APSSAM 2011 is delighted that you have invited to speak at our meeting and we would like to extend our thanks for all your time and efforts dedicated to your participation at the meeting. This guide contains all the information you need to prepare for your presentation, so please read all the information carefully. You may see the tentative presentation schedule at the website. However the previous schedule has been changed several times.
 
Each speaker is allotted 20~30 minutes for their presentation and for Q&A (discussion). Please find your presentation time in the final program book.
 
 
▌PRIOR TO ARRIVING
Prepare Presentation File(s)
Language
All presentations should be made using the English language and all presentation materials should be created in English.
 
Presentation Format

It is strongly recommended that all presenters prepare the presentation materials in Microsoft Office POWERPOINT.

Portable Media: Please save your files to a USB Storage Device or CD. When building your presentation, all files (PowerPoint and external, i.e. movie files) associated with your presentation must reside in the same folder. Be sure you bring your movie files along with your PowerPoint presentation.

Users of Macintosh Computer: If transferring presentation file(s) from a Macintosh environment to a PC platform, it is imperative that you review your presentation file in the Preview Room.

Fonts: We only supply fonts that are included in the basic installation of Windows. Fonts other than these should be embedded into your PowerPoint presentation. Use of fonts not included in Windows can lead to words that bleed into graphics or bullets that may be the wrong style.

Pictures: Images inserted into PowerPoint are embedded into the presentation. Images that are created at a dpi setting higher than 75 dpi are not necessary and will only increase the file size of your presentation file(s). If you have images that are too large, this may slow down your presentation and therefore reduce its quality. JPG images are the preferred file format for inserted images.

Movies: Please create your movies as MPEGs or WMV.

NOTE: Even though you have uploaded your presentation file to the official website, you will still be required to bring your presentation file(s) to Preview Room the half-day before your presentation day.
 
 
▌HALF DAY PRIOR, ON SITE

Please bring your USB memory stick or CD to Preview Room the half-day before your presentation day. This will allow time to prepare, rehearse, and finalize your presentation before submitting it. It is imperative that you review your presentation in the Preview Room if it contains video files, or if it was created on a Macintosh computer.

The computers in the Preview Room are Microsoft Windows-based with Microsoft Office XP. The computers in the Preview Rooms will be configured with hardware and software exactly same as the computer in the session rooms.

For sessions starting in the morning, presentations need to be delivered the day before.
 
 
▌THE DAY OF YOUR PRESENTATION

Please bring your USB memory stick or CD with you to the presentation room as a backup in case of emergency.

PLEASE BE ADVISED, if you do not check your presentation into the Preview Room, you will be responsible for loading your presentation onto the computer system in the session room. Technicians will be available during the meeting to assist in loading presentations and to ensure they are transmitted to the PC in the session room.

Please arrive at the presentation room 15 minutes before your session is due to start to meet the session chair.

Session Chairs have been instructed to keep the session on schedule. If you opt NOT to test your presentation in the Preview Room and there is a problem with the file that you have hand carried to the session, you will be asked to either give your talk without the computer presentation.

 
 
▌IN THE SESSION ROOM
Presentation Time
Please observe the time allotted to you - you will not be permitted to speak for longer than this.
Each speaker is allotted 20~30 minutes for their presentation and for Q&A (discussion). Please find your presentation time in the final program book.
 
Speakers’ Seat
There are arranged seats for chairs and presenters in the first row of the session room.
 
Audio/Visual Overview
The audio/visual package in the meeting room will consist of:
- Screen / LCD projector / Microphone for Q&A
- Lectern with Microphone, Laser Pointer, KVM System
KVM System (with KVM being an abbreviation for Keyboard, Visual Display Unit and Mouse)
- It allows presenter to control their presentation file on the lectern.
- AND multiple computers are connected to the KVM for unexpected problems.
- If you have these problems, control will be switched from your computer to another by A/V technician.
 
If you are providing your own laptop for your presentation…
- Bring your laptop to your session and bring your power supply cord with you.
- You may need an adaptor to connect your computer to the local voltage (220) and wall plug type.
- If your laptop is a Mac, bring the required adapter for the external video output.
- Arrive at your session at least 15 minutes before it begins. All presenters in a session should set up and test the connection to the projector before the session begins.
- We encourage speakers to put their presentations on a USB data stick (USB pen) as a backup.
 
※ The staff will be assigned to session room. And A/V technician will also help with A/V equipments. PowerPoint presentations will be pre-loaded on a laptop in the session room and ready for display on a beam projector.
